This is an exciting opportunity to work within a world renowned commercial real estate company who work across property sales, leasing and management, facilities and project management, capital markets and consulting to name a few.

They have offices throughout the UK, with its Central London Team leading the commercial property marketing across the UK.

This is a stimulating, varied and fast-paced role that will suit a candidate already operating at a senior level. You will be pro-active, flexible and organised. The working day can be busy with conflicting priorities and sometimes short deadlines so the ideal candidate must enjoy working in a busy environment.

RESPONSIBILITIES

This role is to provide a high level of PA support to the Head of Central London Lease Consultancy on a daily basis and to provide additional support, where necessary, to the Lease Consultancy team to ensure that their and their client needs are met at all times.

  • Full and complex diary management with a strong understanding of priorities. This involves organising meetings and events for both internal and external parties
  • Managing incoming communication (email, voicemail and telephone calls) and ensuring that all mail and enquiries are processed in an accurate, professional and timely manner
  • Assisting with compiling information, document and presentation creation for professional internal/external seminars
  • Managing Holiday Chart
  • Organising monthly team meetings to include preparing agenda, documentation and minute taking
  • Managing internal database ensuring it is kept up to date
  • Provide suggestions to improve and streamline individual/team processes and procedures and implement as advisedPreparation and distribution of paperwork for relevant meetings
  • Typing and proof reading of all outgoing emails, correspondence and documents
  • Meet and greet clients/colleagues, including organising meeting rooms, catering and equipment as necessary
  • Preparing, typing, amending, formatting presentations and reports
  • Preparing, assisting in research, typing, amending, formatting pitch documents and materials
  • Invoicing and disbursements
  • Membership management of various internal Boards and Groups as well as external professional clubs and associations. Assisting with internal Board projects and tasks


KEY SKILLS

  • Excellent spelling, grammar and telephone manner, including good command of written/verbal English
  • Good interpersonal skills
  • Understands and appreciates the importance of using discretion
  • Ideally has had experience in, or understanding of, the property sector
  • Be “one step ahead” - anticipating what is next, knowing the diary inside out and what the deadlines are
  • Excellent IT skills, especially Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Typing skills including audio dictation at an advanced level
  • Exceptional organisational and multi task skills and attention to detail
  • Ability to work to deadlines, being flexible and proactive
  • Ability to prioritise and work on own initiative
  • Ability to identify potential and/or immediate problems and solve this quickly and efficiently
