Our client, an Independent Consultancy firm are looking for an Administrative Assistant to join their team on a temporary basis.

The role will be to assist the team and will be the first point of contact for any clients coming into their offices. The ideal candidate will have excellent communication skills, be friendly and personable with a ‘muck in’ attitude.

KEY RESPONSIBILITIES:
  • General Admin Support
  • Typing/formatting/updating/scanning/printing/copying/binding documents as required
  • Answering all telephones, dealing with callers as appropriate
  • Assistance with diary management and meeting organisation for key staff
  • Liaise with Main Reception – collecting parcels signed for, mail pick up, receiving visitors, meeting room and catering bookings as required
  • Open, date stamp and distribute all incoming post except items marked Private & Confidential
  • Go to Post Office for sending of post items as and when required
  • Maintain the office in a clean state, remove rubbish, clean meeting room table, ensure ‘clear desk policy’ is adhered to by all staff
  • Ensure shredding machine is emptied regularly
  • Ensure printers are full of paper at all times
  • Order Stationery and other requirements as needed including milk
  • Liaise with IT support company and troubleshoot any minor IT problems on behalf of staff
  • Audio typing
  • Email correspondence


KEY SKILLS/ATTRIBUTES:
  • Advanced Outlook, Word, Excel and PowerPoint skills
  • Audio typing skills are preferred
  • Good time management and be able to prioritise competing tasks for numerous staff members
  • Have the ability to work on own initiative
  • Excellent attention to detail, be resourceful and logical
  • Good interpersonal skills
  • Friendly but professional communication skills
